5 Best Methods of Sending Emails and Alerting Users

1. Email Notification at the Organization Level

What is it?

In the Admin Console or Admin Service of IICS and IDMC, there are several email notification options available.

The “send email default” setting specifically controls the default behavior for sending email notifications within these environments.

You can configure an email notification property to define default email addresses for receiving messages related to job failures, warnings, and successes.

When these email notifications are set up at the organization level, they apply universally to all tasks across the entire organization, ensuring consistent communication for critical events within the IICS and IDMC platforms.

How to do it?

To set up email notifications at the Organization level in Informatica Cloud, follow these steps:

a. Log in to Informatica Cloud and access the Administrator service.

b. Navigate to the Organization tab.

c. Under the Organization settings, go to Data Integration Service > Default Email Notifications.

d. Enter email addresses individually for Failure, Success, and Warning notifications.

Note: Enter one or more valid email addresses, separating each with a comma (,) or semicolon (;).

2. Send Email on Taskflow Suspension

What is it?

When the taskflow encounters a fault and is suspended, an email notification is automatically sent. Enabling the Send Email on Suspension option activates the Email To, Email CC, Email Subject, and Email Body fields. These fields can be customized using parameters from sets, input fields, output fields, and temporary fields.

For instance, when transferring assets between Point of Deployments (PODs), you can streamline the process by parameterizing the recipient’s CC email addresses instead of entering them manually each time, which helps save time.

How to do it?

To configure email notifications for Taskflow Suspension in Informatica Cloud, follow these steps:

a. Open the Taskflow.

b. Navigate to Start > Advanced.

c. Check the box for Send Email on Suspension.

d. Customize the configuration as needed.

3. Follow the Notification Task Step

What is it?

The Notification Task step can be strategically placed after any task within a taskflow to streamline decision-making processes and ensure timely communication. By configuring it to send an email notification after a task is completed, you can effectively review the task’s outcomes and make informed decisions before notifying relevant parties.

This capability enhances taskflow management by providing a structured approach to handling notifications based on specific conditions or criteria set within the taskflow.

How to do it?

To configure email notifications using the Notification task in Informatica Cloud, follow these steps:

a. Retrieve the notification task from the design tab.

b. Place it in the desired location to monitor status and send emails.

c. Customize the details tab based on your requirements.

4. Set Up Task Level Notifications

What is it?

Setting up notifications for each task individually offers a robust way to personalize email alerts based on specific task statuses.

This customization enables users to depart from standard organization-wide settings, ensuring that notifications are directed to specific recipients according to the unique requirements of each task.

By establishing rules tied to task outcomes—like success, failure, or other defined criteria—users can guarantee that pertinent stakeholders receive timely notifications.

How to do it?

To set up email notifications using the task level in Informatica Cloud, please adhere to the following steps:

a. Navigate to the Explore tab and locate the task for which you wish to configure email notifications.

b. Open the task and navigate to the Schedule tab > Email Notification Options.

c. Choose the “Use custom email notification options for this task” option. d

You can now enter email addresses for Failure, Warning, and Success notifications as the corresponding tabs will be enabled.

5. Use Command Task

What is it?

Email notifications from Command Task serve not only to deliver crucial updates and information but also to facilitate the seamless sharing of attachments. This capability enables teams to directly include necessary documents, reports, or files alongside task updates and status notifications.

These notifications are typically generated using scripts written in Bash or another shell scripting language, leveraging command-line utilities such as mail or sendmail for programmatically composing and sending emails.

These scripts can be tailored to include various elements like recipient addresses, subject lines, message content, and attachments.

How to do it?

1. Open the Informatica Taskflow.

2. Drag & drop the command task from the design section.

3. Configure the command task based on your requirements.

They often integrate with scheduling tools or event triggers to automate the sending of notifications, alerts, or reports. By utilizing shell scripting for email automation, organizations can streamline administrative processes, ensure timely information dissemination, and improve overall operational efficiency.

This automation minimizes manual errors, reduces the need for human intervention, and establishes a robust framework for managing communication workflows effectively.
